Software or Subscription Request & Registration Guide
Acquiring a new piece of software or a subscription can significantly enhance productivity, streamline processes, and address specific business needs. However, to ensure that all acquisitions align with company policies, budget considerations, and IT compliance, it is essential to follow the correct approval process.
This step-by-step guide will walk you through the process of requesting approval for new software and subscriptions, from identifying your needs, submitting your request, awaiting feedback to registering your software or subscription with the Helpdesk.
1. Identify the Software or Subscription You Require
- Research and identify the specific software or subscription that meets your needs.
- Ensure the software or subscription aligns with your team’s objectives and business requirements.
- Collect relevant details, including the software or subscription name, purpose, licensing options, and estimated costs.
2. Prepare a Justification for the Software or Subscription
- Clearly outline why this software is needed.
- Highlight the benefits, such as improved productivity, cost savings, or enhanced capabilities.
3. Send a Request
Once you’ve submitted your request, the helpdesk will review it and respond to you. You will also receive ticket number. Please keep this safe.
4. After Approval: Complete the Software/Subscription Registration Form
If your software or subscription has been approved, you must make sure to complete the Software/Subscription Registration Form. This will ensure all relevant details are logged correctly, aiding in effective license management, compliance tracking, and renewal management.
Please also be aware that even if approval is granted and login credentials are provided to you by the Helpdesk, it remains your responsibility—as the requester of the software—to complete the form. This includes entering the login username and password provided. This step is vitally important for accurately managing and streamlining our process moving forward.
If you trial software and decide to proceed with a full subscription or license, you must still follow the same process by completing the request form. Once approved, you will also need to submit the registration form.
